About the data processing

Below you can read how we process your data, where we store it (or have it stored), which security techniques we use, and for whom the data is visible.

Webshop software – Shopify

Our webshop was developed using software from Shopify. Personal data that you make available to us for the benefit of our services is shared with this party. Shopify has access to your data to provide us with (technical) support; they will never use your data for any other purpose. Shopify is obliged, based on the agreement we have concluded with them, to take appropriate security measures. These measures include SSL encryption and a strong password policy. Shopify uses cookies to collect technical information regarding your use of the software; no personal data is collected and/or stored for other purposes. Shopify reserves the right to share collected (anonymized) data within its own group to further improve the service.

Web hosting – Hetzner

We purchase web hosting and e-mail services from Hetzner. Hetzner processes personal data on our behalf and does not use your data for its own purposes. However, this party may collect metadata about the use of the services; these are not personal data. Hetzner has taken appropriate technical and organizational measures to prevent loss and unauthorized use of your personal data and is obliged to maintain confidentiality under the agreement.

E-mail and mailing lists – Microsoft

For our regular business e-mail traffic, we use the services of Microsoft. This party has taken appropriate technical and organizational measures to prevent misuse, loss, and corruption of your and our data as much as possible. Microsoft has no access to our mailbox and we treat all our e-mail traffic confidentially.

Payment processors – Stripe

To handle (part of) the payments in our webshop, we use the Stripe platform. Stripe processes your name, address, and city details and your payment information, such as your bank account or credit card number. Stripe has taken appropriate technical and organizational measures to protect your personal data. Stripe reserves the right to use your data to further improve the service and, in that context, share (anonymized) data with third parties. All of the safeguards mentioned above regarding the protection of your personal data also apply to the parts of Stripe’s service for which they engage third parties. Stripe does not store your data longer than permitted by statutory terms.

Shipping and logistics – Wefulfil

When you place an order with us, it is our job to have your package delivered to you. We use the services of Wefulfil to carry out the deliveries. For this purpose, it is necessary that we share your name, address, and city details with Wefulfil. Wefulfil uses this data exclusively for the purpose of executing the agreement. In the event that Wefulfil engages subcontractors, Wefulfil also makes your data available to these parties.

Purpose of the data processing

General purpose of the processing

We use your data exclusively for the benefit of our services. This means that the purpose of the processing is always directly related to the assignment you provide to us. We do not use your data for (targeted) marketing. If you share data with us and we use this data to contact you at a later time - other than at your request - we will ask for your explicit permission. Your data is not shared with third parties, other than to comply with accounting and other administrative obligations. These third parties are all bound to confidentiality based on the agreement between them and us or an oath or legal obligation.

Automatically collected data

Data collected automatically by our website is processed for the purpose of further improving our services. This data (e.g., your IP address, web browser, and operating system) is not personal data.

Cooperation in fiscal and criminal investigations

In appropriate cases, Beofit may be held on the basis of a legal obligation to share your data in connection with fiscal or criminal investigations by the government. In such a case, we are forced to share your data, but we will oppose this within the possibilities offered by the law.

Retention periods

We keep your data as long as you are a customer with us. This means that we keep your customer profile until you indicate that you no longer wish to use our services. If you indicate this to us, we will also interpret this as a request to be forgotten. Based on applicable administrative obligations, we must keep invoices containing your (personal) data; we will keep this data as long as the applicable term runs. However, employees no longer have access to your customer profile and documents we have produced following your assignment.

Your rights

Under applicable Dutch and European legislation, you as a data subject have certain rights with regard to the personal data processed by or on our behalf. We explain below which rights these are and how you can invoke them. To prevent abuse, we generally send copies of your data only to your e-mail address already known to us. If you wish to receive the data at a different e-mail address or by post, we will ask you to identify yourself. We keep records of handled requests; in the case of a request to be forgotten, we keep anonymized data. You have the right at any time to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) if you suspect that we are processing your personal data incorrectly.

Right of access

You always have the right to view the data we process (or have processed) that relates to your person or can be traced back to you. You can make a request to that effect to our privacy contact person. You will receive a response within 30 days. If your request is granted, we will send you a copy of all data at the e-mail address known to us, with an overview of the processors who hold this data, stating the category under which we have stored this data.

Right of rectification

You always have the right to have the data we process (or have processed) that relates to your person or can be traced back to you adjusted. Submit a request for this to our privacy contact person. You will receive a response within 30 days. Upon approval, we will confirm by e-mail that the data has been adjusted.

Right to restriction of processing

You have the right to restrict the processing of your personal data. After your request, you will receive a response within 30 days. Upon approval, we will confirm by e-mail that the data - until you lift the restriction - will no longer be processed.

Right to portability (data portability)

You have the right to have the data we process (or have processed) that relates to your person or can be traced back to you carried out by another party. After your request, you will receive a response within 30 days. Upon approval, we will send you copies of all data about you that we have processed or that has been processed by other processors or third parties on our behalf to the e-mail address known to us. We may then no longer be able to continue the service (fully), because a secure link of data files can no longer be guaranteed.

Right of objection and other rights

In appropriate cases, you have the right to object to the processing of your personal data by or on behalf of Beofit. In case of an objection, we will stop the data processing pending the handling. If your objection is justified, we will provide you with copies of the data we process (or have processed) and stop the processing permanently. Furthermore, you have the right not to be subject to automated individual decision-making or profiling. We do not process your data in such a way that this right applies. If you believe this is the case, please contact our privacy contact person.
